This video will give you a short overview of how the Polycom is used
The Basics...things that every Polycom user should know
Using the Remote Control:
Learn how to use the remote --- including the preset features for the camera positions
To set a preset, position the camera using the arrows and zoom, select preset, select a number 0 to 9 and hold it down until the screen indicates that the preset has been updated. Usually this looks like a bubble changing to yellow.
The remote includes sound/volume. This is where participants in the field get confused. The volume is controlled by the polycom, but can also be controlled on the TV. Typically if someone says they can't hear you, the volume on the polycom has been turned down. Ask the site to use the remote to turn the volume up.
Adjust the position of the camera
Know how to use the microphone/muting
Practice making connections
Ambiance (or lighting, as more technical people would call it):
Set up the chairs well: Chairs should be in a big semi-circle that is deep, not wide - make it so everyone can be seen by the camera with as little camera toggling as possible.
Move the microphone close to the people who will be speaking.
Set the presets on the camera for your room arrangement. This allows you to easily move the camera's focus around the room.
First time users:
Remember that the technology will become the background, but that it will not start off that way.
Take the time to acknowledge the technology and address questions from participants.
Make sure that all sites know how to mute and unmute the microphone.
Break the ice and get participants talking.
Making a Call:
Remember that the LNV is made up of 3 parts, two of which (the Polycom/Tandberg camera and Scopia Desktop) can call each other. Also remember that all calls in the LNV system are based on a number (meeting number, camera number, virtual room number, etc.). The following are instructions for different ways to place a call in the LNV:
1. Point-to-Point call (camera-to-camera call): Simply use the remote control to enter the 7 digit number for the site on the home screen, then press the green "call" button.
2. LNV sites calling non-LNV sites: Click the following link to access instructions on Calling non-LNV sites
3. Scopia Desktop calling Scopia Desktop (holding a meeting only using participants' desktop computers): Logon to Scopia Desktop at http://conference.learn.vt.gov/ . Enter your name in the virtual room number in the "Meeting ID" field. Click here for more information about Scopia Desktop.
4. Using Scopia to call into a Polycom/Tandberg meeting: Create the meeting in iView. On the Scopia login page, enter the meeting number in the "Meeting ID" field.
